Where to start
Most companies that call us have already tried something. A subscription to a tool three people use. A pilot project that never left the pilot stage. An impressive demo that never made it into operations.
The problem is almost never the technology. It’s that they started with the tool instead of starting with the work.
Our first job is to look at how your people actually work. Not the documented processes — what really happens, with the workarounds, the parallel spreadsheets, and the email threads that serve as a system.
What we look for
- Work that repeats. Data entered twice. A report rebuilt every week. A document someone hunts for twenty minutes.
- Decisions that wait. What stalls because someone has to compile information before anyone can decide.
- What gets lost. Information that exists somewhere in the company but nobody finds when it would be useful.
- What depends on one person. The knowledge that goes on vacation with them.
What we put in place
AI isn’t an answer in itself. It earns its place when it does one specific thing better than a person who doesn’t have the time.
Find. Ten years of archives, drawings, contracts, rushes. Search that understands what you’re looking for instead of matching keywords.
Summarize. A two-hour meeting, a forty-page RFP, three months of correspondence on a project.
Sort. What needs your attention today, separated from what can wait.
Draft. A standard reply, a report, a technical description. A person reviews and corrects — but no longer starts from a blank page.
Extract. Data living inside PDFs, invoices, purchase orders, handwritten forms.
Where the processing happens
It’s the first question serious companies ask, and it’s a fair one.
Two options, depending on your constraints:
On your premises. Models run on your infrastructure. Your data never leaves your environment. More demanding in hardware, but nothing to negotiate with an outside vendor about confidentiality.
In the cloud. Faster to deploy, less hardware. We then choose providers whose terms of service exclude training on your data, and we show you the contract before signing.
We tell you which fits your situation, with the trade-offs of each. The choice is yours.
What we don’t do
We don’t replace your people with robots. Projects where the goal is to cut staff, we turn down — they end badly, and it isn’t what we’re good at.
We don’t sell a subscription to a generic tool and call it guidance.
We don’t install AI because this is the year of AI. If the best move for you this year is to clean up your database and connect two systems, we’ll say so.

The exercise to do before calling us
Take a week. Every time someone on your team says “I need to find that,” “let me copy this over,” or “hold on, I’ll get back to you,” write it down.
By the end of the week you’ll have your starting list. That’s what we’ll talk about.
Feasibility audit. Fully credited if the engagement proceeds.
Engagement. Fixed price. Overruns are our problem, not yours.
Ongoing. Hosting, fixes and continuous adjustments.
Five engagements per quarter. When it’s full, it’s full.
